Pre-Select Immunizations Screen

 Purpose

The Pre-Select Immunizations screen is used to prepare or pre-populate immunization information to be recorded and saved on the Record Immunizations screen.

 

 Information Provided

This screen is divided into two parts, the 'Active immunization inventory' section, and the 'Immunizations available for historical shots only' section. The information entered into these sections will help build the final immunization records to be saved to the database.

Within the 'Active immunization inventory' section, there is a table which groups immunizations available by inventory for the selected site on the left. These immunizations are to be selected either as new shots given out of the active inventory on the current date or as historical shots. Only vaccines that are active in inventory are displayed here, however these vaccines can also be added as historical shots. Make sure to click Unselect All if you are only adding historical immunizations. Otherwise you may not notice that some "new" vaccines are checked, and accidentally add them.

Within the 'Immunizations available for historical shots only' section the grid here only displays historical shots available. Any number up to ten can be entered into the boxes corresponding to how many historical shots for that particular vaccine you are adding at one time.

On the right of this grid the 'Defaults for new immunizations' section is used for selecting default information for the selected "new" immunizations being administered. All inventory listed within this grid is based on the inventory of the selected site as of today. It is possible to view a listing of a particular site's inventory on a past date using the Activate Expired button. If a site does not have any inventory or if all of the site's inventory is expired, then the following message will be displayed: " *No inventory found for this site* ".

The 'Defaults For New Immunizations' section contains information that can be chosen which will pre-populate the final immunization records with the selected information for all new immunizations selected.

Field Name

Description

 Organization Site 

This field displays the site within the provider organization whose inventory will be drawn from and is listed within the 'Immunizations' frame for new immunizations. Choose a site by selecting the desired site name from the pick list. When a new site name is clicked, the Pre-select Immunizations screen will automatically reload with the selected site's inventory displayed in the grid.

 Ordering Authority 

This field names the clinician who has the ordering authority to let the client have the selected immunizations. Select an ordering authority by choosing a clinician name from the pick list.  *Note*

 Administered By 

This field names the clinician who actually gave the selected immunizations to the client. Select an administering clinician by choosing a clinician name from the pick list.  *Note*

 Date Administered 

To pre-populate all the new immunizations being recorded with the same administration date, type a date in the format MM/DD/CCYY into the text box. Or, click on the Calendar icon to set the date.   *Note*

 Provider Organization 

This field is used to capture the name of the provider organization that administered the historical immunizations selected. If available, type the name of the provider organization into the text box.  

 Date Administered 

To pre-populate all the historical immunizations being recorded with the same administration date, type a date in the format MM/DD/CCYY into the text box. Or, click on the Calendar icon to set the date.   *Note*

 Functionality

Button

Description

When the  Ok  button is clicked, the Record Immunizations screen is displayed containing all the immunization information selected from the Pre-select Immunizations screen.

When the  Cancel  button is clicked, any changes and/or selections made are lost, and the Immunization History screen is displayed.

If it is necessary to view the selected site's inventory from a past date, enter that date here and click the  Activate Expired  button. The Pre-select Immunizations screen will be repopulated containing an inventory grid based on the date entered.

Inside the 'Active Immunization Inventory' section, click the  Unselect All  button to clear all the check boxes within the  New  column .

 Notes

If the date field is left blank on this screen, today's date will be entered automatically in the Record Immunizations screen.

This field can be changed for each individual immunization on the Record Immunizations screen.
